Perfect Poses Media Inc. ("we", "us", or "our") operates the website perfectposes.ca and provides photography, videography, and livestreaming services in British Columbia, Canada. Because our work involves capturing, processing, and storing images, video, and audio of people and their events, this Privacy Policy explains in plain language what we collect, how we use it, who we share it with, and your choices.
This Privacy Policy explains how we handle personal information and media. It does not replace your service contract with us — matters such as pricing, payment, licensing, cancellations, reshoots, and session conduct are governed by the Agreement you sign with us. Where this policy and your signed Agreement overlap, your Agreement governs. By using our website or our services, you agree to the practices described here.

1. Information We Collect
Client & booking information: your name, billing and mailing address, email address, phone number, event details, and payment information.
Visual & audio media: raw and edited photographs, video footage, and audio recordings captured before, during, and after the events we are hired to cover.
Livestream data: real-time video and audio feeds, and, where we host a stream on our own platforms, associated information such as chat logs or viewer data.
Technical & website data: cookies, IP address, approximate location, device and browser information, and analytics about how our website and client galleries are used.
2. How We Use Media We Capture
Service delivery: to produce and deliver your final edited photos and videos, and to carry out live broadcasts you have booked.
Marketing & portfolio: unless otherwise agreed, we retain the right to use the images and footage we create for our own promotion — including on our website, social media, and print marketing. Your rights and any restrictions on promotional use are set out in the model release and licensing terms of your service contract.
Editing: all editing is performed at our discretion, and images may be delivered in colour or black and white as appropriate. Additional or revised edits requested after delivery may be subject to an additional fee, as set out in your contract.
3. Image Ownership & Licence
We are the author and sole owner of the copyright in all images and footage we create, and we retain that copyright without limitation. When you book us, you are not purchasing ownership of the images — you are paying for a licence to use them as specified in your invoice, quote, or contract. The licence takes effect once full payment has been received and the images have been delivered. Copyright metadata embedded in any digital file may not be altered or removed without our written consent.
4. AI Face Detection in Client Albums
To help clients and their guests find their photos, our client galleries use automated face-detection technology. This analyzes faces within an album so images can be grouped and filtered — for example, letting a guest with access view the photos they appear in. It is used only to organize and sort photos within our service. We do not use it to identify strangers or sell facial data. Concerns can be sent to info@perfectposes.ca.
5. Image Rights, Consent & Releases
Attendees & bystanders: by attending an event that Perfect Poses Media is hired to cover, you acknowledge that you may be captured in photographs, video footage, and live broadcasts, and that such media may be used by us and by our client (for example, the couple or host) as described in this policy and in our client contract.
Client responsibility: it is the client's responsibility to inform their guests — through signage, invitations, or announcements — that recording, photography, and/or live broadcasting is taking place. If you do not wish to be recorded, it is your responsibility to raise this with the event host and remove yourself from the areas being covered.
Releases: unless specifically agreed in writing, we are not responsible for obtaining model, property, trademark, or other releases connected with the images. Where any use requires a release or other permission, it is the client's responsibility to obtain it.
6. Cookies & Website Visitor Data
Our website uses cookies and similar technologies for essential functionality and for analytics about how the site is used. Most browsers let you control or disable cookies, though some features may not work if they are disabled. We also record limited technical information about website visits, which we use for our own business and analytics purposes and remove periodically.
7. Third Parties We Share Data With
We do not sell your personal information. To run our business we use trusted service providers who may process data on our behalf, including: gallery & delivery platforms used to proof and deliver photos and videos; cloud storage & backup providers where raw and final files are stored; streaming platforms used to broadcast live feeds (such as YouTube, Vimeo, Facebook Live, or custom servers); and payment processors that handle transactions securely. We may also disclose information where required by law.
8. Storage, Security & File Retention
We take reasonable steps to protect your media and personal information, using secure, password-protected platforms and protected storage for high-resolution assets.
Unless otherwise agreed, all digital files and images we create may be deleted or destroyed approximately one month after they are delivered to the client. We cannot guarantee the availability of any image beyond the date of first delivery, and it is the client's responsibility to store and back up their delivered files. Requests to reproduce or re-deliver images after that point may be subject to an additional processing fee. Clients acknowledge that all digital storage media are inherently fallible, and release us from liability for any claims arising from media becoming unusable.
9. Your Rights
Access: you may request a copy of the personal information we hold about you.
Removal / opt-out: you, or a guest who appears in our coverage, may request that a specific photo or video clip be removed from our public portfolio or online galleries.
To make a request, contact info@perfectposes.ca. Some information may be retained where we have a legal or legitimate business reason to keep it, and our underlying copyright in the images is not affected by removal from public display.

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision.
